Creating Events

How do I create an event?

Can I create recurring events?

Yes! When creating an event, you can set it to recur daily, weekly, monthly, or with a custom schedule. This is perfect for regular raids, guild meetings, or weekly activities.

Can I edit an event after creating it?

Yes, you can edit events before they start. It's recommended to finalize settings before announcing to avoid confusion among members.

RSVP & Participation

How do members RSVP to events?

Members can RSVP directly on Discord by selecting "Going", "Not Going", or "Tentative" on the event announcement. They can also view and RSVP through the web app calendar.

Can I set participant limits for events?

Yes, when configuring participation (Step 7), you can set a maximum number of participants. Registration can be required or optional depending on your event type.

What happens if an event is marked as mandatory?

When configuring scheduling (Step 5), you can mark an event as mandatory for online members. This helps ensure important events like raids or sieges have full participation.

Notifications & Discord Integration

How do notifications work?

You can configure Discord role mentions for reminders and set when they're sent (e.g., 1 hour before, 15 minutes before). Notifications are automatically sent to Discord based on your settings.

Do events automatically post to Discord?

Yes, if you enable Discord publishing (Step 10), the event will automatically be posted to your Discord server with RSVP buttons for members.

Viewing & Managing Events

How do I view all upcoming events?

Use the /activity list command in Discord or check the calendar view on the web app. The calendar shows all scheduled events at a glance.

Can I set rewards for event participation?

Yes, in Step 11 you can configure DKP or other rewards that participants will earn for attending the event. This helps incentivize participation.

Plans & Pricing

What plans are available?

Guild Manager offers four tiers: Free (forever), Core ($19.99/month), Elite ($29.99/month), and Mythic ($49.99/month). Each plan includes different capacity limits and features. Check the pricing page for detailed comparisons.

Is there a free trial?

Yes! All paid plans include a 14-day free trial with full access to all features. No credit card required for the Free tier.

What's included in the Free plan?

The Free plan includes: 1 guild, up to 25 members, 100MB storage, basic member profiles, activity planning, Discord integration, 7-day audit log, and community support. Perfect for small communities or testing the platform.

Can I get an annual billing discount?

Yes! Annual billing is available for all paid plans with 15-20% discount. Contact support to switch to annual billing. Core: $203.88/year, Elite: $305.88/year, Mythic: $509.88/year.

Upgrading & Downgrading

How do I upgrade my plan?

Go to SettingsBilling in your dashboard, compare plans, and select the tier that fits your needs. Complete payment through our secure Polar checkout. Your upgrade is instant – all features unlock immediately.

Are upgrades prorated?

Yes! All upgrades are prorated based on your current billing cycle. You only pay for the remaining time at the new tier rate.

Can I downgrade my plan?

Yes, you can downgrade anytime. The downgrade takes effect at the end of your current billing period. You'll have full access to current features until then. Make sure you meet the new plan limits before downgrading.

What happens when I upgrade?

Upgrades are instant – you get immediate access to new features. There's no downtime or data migration needed. You'll only pay the prorated difference for the remaining billing period.

Cancellation & Data Retention

Can I cancel my subscription?

Yes, you can cancel anytime with no penalties. Go to SettingsBillingCancel Subscription. Your subscription remains active until the end of your billing period.

What happens to my data after cancellation?

Your data is retained for 30 days after cancellation. You can reactivate within 30 days without data loss. After 30 days, your data will be permanently deleted and cannot be recovered. You'll receive a reminder email 7 days before deletion.

Can I reactivate after canceling?

Yes! You can reactivate within 30 days of cancellation without any data loss. After 30 days, your data will be permanently deleted.

Billing & Payments

What payment methods are accepted?

We accept all major credit cards (Visa, Mastercard, Amex, Discover). Payments are securely processed via Polar. Annual invoicing is available for Mythic tier.

When am I charged?

For monthly billing, you're charged on the same date each month (your subscription date). Billing is automatic but can be disabled in settings. You'll receive an invoice via email after each charge.

Can I disable automatic renewal?

Yes, you can disable automatic renewal in your billing settings. Your subscription will remain active until the end of your current billing period.

Add-Ons & Limits

What add-ons are available?

Mythic tier users can add Additional Guilds for $10/month per guild (beyond the 4 included). This allows unlimited guilds with the same features and capacity as included guilds.

What happens if I exceed my plan limits?

If you exceed limits (members, storage, etc.), you'll need to upgrade to a higher tier or purchase add-ons (if available). You'll receive notifications when approaching limits.

Registering Donations

How do I register a donation?

Go to the Donations section and click "Donate". Fill in the details: select the guild member (if registering for someone else), choose the recipient officer, upload a screenshot as proof (required), add donated items, optionally add a description, choose if it should be anonymous, and submit.

Can I register a donation for someone else?

Yes, when registering a donation, you can select a guild member if you're registering the donation on their behalf. This is useful for officers tracking donations from multiple members.

Can donations be anonymous?

Yes, you can choose to make a donation anonymous when registering it. This option is available during the donation submission process.

Discord Donations

How do I donate via Discord?

Use the /donate command in your Discord guild channel. Upload a screenshot for evidence, select the recipient (member or officer), add a note with donation details, and wait for an officer to review and approve your donation.

Do Discord donations need approval?

Yes, donations submitted via Discord require officer approval. After you submit using the /donate command, an officer will review the evidence and approve or reject the donation.

Managing Donations

How do officers approve donations?

Officers go to 'Donations' and click 'Manage'. They can review all submitted donations and attached evidence, then approve or reject each donation based on the evidence provided.

Can officers see all donations?

Yes, officers can view all approved donations in the dashboard. They can also track who donated and view top donors to recognize generous members.

What happens after a donation is approved?

Once approved, the donation is displayed in the dashboard and counted toward the donor's contribution record. Officers can track donors and view top donors from the management interface.

Can I edit or delete a donation after submitting it?

Only officers can manage donations. If you need to correct a donation, contact an officer who can review and make changes through the Donations Management section.


🎲 Auctions & Loot Distribution

Creating Auctions

How do I create an auction?

Navigate to the Auctions section from the main menu and click Create new auction. Select the desired item, assign it to a category, choose the auction type (Open Bid, Sealed Bid, or Vickrey), define the start and end times, configure bidding rules, choose participants, set notifications, and launch the auction.

What types of auctions are available?

Guild Manager supports three auction types:

  • Open Bid: Everyone can view all bids as they happen in real-time for full transparency
  • Sealed Bid: All bids remain private until the auction ends, with the highest bid winning
  • Vickrey Auction: Highest bid wins but pays the second-highest amount, encouraging honest bidding
Can I customize who can participate in an auction?

Yes, you can restrict participation to: open (all eligible members), invited list, wishlisted players, or require a gear check. You can also exclude blacklisted users automatically.

What bidding currencies can I use?

You can select any bidding currency configured in your guild, such as DKP (Dragon Kill Points) or other custom currencies. You'll also set a starting bid and minimum increment amount.

Auction Settings

Can I set time extensions for auctions?

Yes, you can allow last-minute bids to extend the auction window. You can set the duration for each extension and limit the number of allowable extensions to prevent auctions from running indefinitely.

How do notifications work for auctions?

You can configure notifications to be posted to your chosen Discord channel. All key events (auction start, new bids, auction end, winner announcement) can be automatically posted for transparency.

Can I edit an auction after creating it?

Auction settings can typically be modified before the auction starts. Once an auction is active and members have started bidding, changes may be limited to maintain fairness and transparency.

Bidding & Participation

How do members place bids?

Eligible members can view active auctions and submit bids through the Auctions section. In Open Bid auctions, all bids are visible in real-time. In Sealed Bid auctions, bids remain private until the auction ends.

What happens when an auction ends?

When an auction closes, the winner is announced. For Vickrey auctions, the winner pays the second-highest bid amount. All auction records are available for audit and review.

Can I see the history of past auctions?

Yes, all auction records are logged and available for review. This provides complete transparency and allows you to track loot distribution over time.
